 The Place for Homes Ltd are committed to complying with the General Data Protection Regulation and the Data Protection Act 2018, once enacted. Looking after the personal information you share with us is very important, and we want you to be confident that your personal data is kept safely and securely and to understand how we use it to offer you a better and more personalised shopping experience.

  • how and why The Place for Homes collect information from you;

  • what your rights are.

 If we make changes to this notice we will notify you by updating it on our website. The Place for Homes will be what is known as the ‘Data Controller’ of the personal data you provide to us, and we will sometimes refer to ourselves in this notice as “we” or “us”. By Data Controller, this means The Place for Homes determines the purposes and way in which any personal data are, or will be, processed.

What information we collect when you register and why?

When you buy goods from us, you are entering into a contract with us. So we can set this up we will ask you to provide some personal information such as;

  • full name
  • address (and previous addresses)
  • contact numbers, and
  • email address.

As an existing customer if you have shopped with us using a credit or debit card, or we have taken these details for a payment authorisation, we will securely collect and store this payment card information. New customers and existing customers whose payment cards have expired will be asked if they would like to automatically store these details in order to speed up the payment process.

When you apply for a credit account, we get information about you from credit reference agencies. This is covered in more detail in the section, Who we share your information with and why.

In order to undertake website personalisation, we will also gather information about the devices you use to access our sites (desktop and mobile), and this may include IP address. For further information on our use of cookies and tracking please see our Cookie Notice.

When you shop in our store The Place for Homes uses CCTV for security monitoring purposes.

What will we use your information for and what are our legal bases for doing so?

We use the personal information we hold about you for a number of different purposes, which we list below. Under data protection law we need to have a valid legal basis for using your personal information, we also set out below the legal bases which we will be relying upon.

We will use the personal information we hold about you for the following reasons:

  • To provide you with the goods/services you have purchased
  • To enforce our contract with you and inform you of any changes to the contract

In both of these cases the legal basis that we will be relying upon to process your personal information will be because it is necessary for the performance of the contract between us.

We will also use the personal information we hold about you for the following reasons:

  • To provide you with information about goods/services you have enquired about
  • To obtain feedback from you and provide ongoing customer service
  • To deal with any complaints
  • To carry out credit checks where you have applied for credit

In this case our legal basis for processing your personal information will be because the processing is in our legitimate interests, namely to provide you with a high level of service, resolve complaints and to promote our business, or in the case of credit checks to protect our financial position.

We will also use the personal information we hold about you to comply with any regulatory requirements or applicable laws and our legal basis for doing so will be that it is necessary for us to so to comply with legal obligations to which we are subject.

Some of the personal data we request will be because we have a legal or contractual requirement to obtain and use the information or it is necessary for us to obtain the information to be able to enter into a contract with you. Failure to provide such information will prevent us from providing you with such goods and/or services.

While we do not carry out any automated decision-making or profiling in relation to you directly, if you decide to take advantage of one of our finance offers, our finance providers use an automated system to check your credit history and confirm eligibility.

Who do we share your information with?

From time to time we will need to share your information with other people and organisations. We will only do so where we have a legitimate legal basis for doing so and in compliance with our obligations under data protection laws.

Your information may be disclosed to other organisations/individuals in the circumstances set out below:

  • Third-Party Service Providers: We use other companies and individuals to perform functions on our behalf. Examples include fulfilling orders, delivering packages, fitting or assembling items, sending postal mail and e-mail, analysing data, providing marketing assistance, processing credit card payments, and providing customer service . Such providers will have access to personal information about you needed to perform those functions, but may not use it for other purposes.
  • Protection of The Place for Homes and Others: We release account and other personal information when we believe release is appropriate to comply with the law; enforce or apply our terms and conditions and other agreements; or protect the rights, property, or safety of The Place for Homes, our users, or others. This includes exchanging information with other companies and organisations such as the Police, credit reference agencies, professional or regulatory bodies, debt collection and tracing agents for fraud protection, credit referencing and credit risk reduction.
  • Where we are legally obliged to do so, e.g. to comply with a court order
  • To our professional advisers for example our lawyers or accountants when they need it to give us their professional advice
  • To other suppliers where you have shown an interest in their products
  • To manufacturers in order to register warranties
  • To allow us to send you a cookie to remind you that you still have items in your basket.

We do not transfer any of your personal data outside the European Economic Area.

We review the ways we use your information regularly. In doing so, we may change what kind of information we collect, how we store it, who we share it with and how we act on it. If we make any such changes we will contact you to notify you.

Keeping in touch with you

We want to keep you up to date with information about new ranges, special offers and improvements to our website. When you set your account up, we will ask you if you want to receive this type of marketing information.

The Place for Homes will not share your information with companies outside of The Place for Homes for their marketing purposes.

If you decide you do not want to receive this marketing information you can request that we stop by writing to us at privacy@theplaceforhomesltd.co.uk or by calling our store on 01446 772927. 

You may continue to receive mailings for a short period while your request is dealt with.

How long do we keep your information for?

To make sure we meet our legal data protection and privacy obligations, we only hold on to your personal data for as long as we actually need it for the purposes we acquired it for in the first place.

This means we will usually keep information relating to any purchase you make for 10 years incase any contractual disputes arise and also to ensure that we have the necessary information to honour any warranties we provide you with and to be able to provide you with part numbers and product information should you wish to order replacements after the expiry of any warranties

We will retain your contact details for direct marketing purposes unless and until you inform us that you no longer wish to receive direct marketing information from us.

What are your rights

You are entitled to request the following from The Place for Homes, these are called your Data Subject Rights and there is more information on these on the Information Commissioners website www.ico.org.uk 

  • Right of access –to request access to your personal information and information about how we process it
  • Right to rectification –to have your personal information corrected if it is inaccurate and to have incomplete personal information completed
